An ERP touches almost every department, so a poor choice is expensive to undo. Use these ten questions to compare vendors on substance rather than slide decks.
1. Is it built for education, or adapted to it?
Generic business ERPs treat admissions, attendance, outcome-based education and accreditation as add-ons. Ask to see them in the core product, not a customisation quote.
2. Which modules are included in the price?
List what you need (admissions, academics, examinations, finance, HR and payroll, library, hostel, transport, LMS, alumni, placements) and ask which are in the base price. Hidden per-module fees are the most common surprise.
3. How is pricing calculated?
Per user, per student, per campus, or flat? Ask for a worked example for your numbers and what changes when intake grows. (KurippEdu's published starting price is ₹50 per user per month, billed monthly.)
4. How will our existing data be migrated?
Ask who does it, what formats are accepted, how errors are reported, and whether there is a parallel run before cut-over.
5. Does it support the reports our regulators ask for?
Examples: NAAC/NIRF/NBA data, outcome attainment, university-specific formats. Ask for sample reports, not screenshots of dashboards.
6. Can each role see only what they should?
Check role-based access for principals, HoDs, faculty, accountants and students, and whether every sensitive action is logged.
7. Where is our data hosted, and who owns it?
Ask about data location, backups, recovery time, encryption, and how you get your data back if you leave. Check alignment with India's DPDP Act, 2023.
8. What does the mobile experience look like?
Students, parents and faculty will mostly use phones. Try the actual app or mobile web, on a normal connection.
9. What happens after go-live?
Ask about training, support hours, response times and who your point of contact is. Request references from institutions of your size and type.
10. Can we try it on our own scenarios?
Ask for a demo with your processes, such as a fee structure, a timetable clash, a question-paper workflow. Vague answers here are a warning sign.
A simple scoring sheet
Score each vendor 1 to 5 on the ten questions, weight the ones that matter most to you (for many colleges: data migration, accreditation reports and support), and compare totals.
