Most colleges do not struggle with NAAC because their work is poor. They struggle because the evidence is scattered: attendance in one system, results in another, research records in a department cupboard, and feedback on paper. When the Annual Quality Assurance Report (AQAR) or an accreditation cycle arrives, the IQAC team spends weeks chasing data.
This checklist shows what to capture, and when, so reporting becomes a by-product of normal work.
The seven NAAC criteria at a glance
- Curricular Aspects: curriculum design, flexibility, feedback from stakeholders.
- Teaching-Learning and Evaluation: admissions and student profile, teaching methods, assessment, learning outcomes.
- Research, Innovations and Extension: research output, projects, outreach activities.
- Infrastructure and Learning Resources: classrooms, library, IT facilities.
- Student Support and Progression: scholarships, mentoring, placements, higher-education progression.
- Governance, Leadership and Management: institutional policies, strategic planning, financial management.
- Institutional Values and Best Practices: inclusion, environment, best practices.
What to collect, and when
Every semester
- Admission and enrolment data, including category-wise numbers.
- Attendance and internal assessment records.
- Examination results and course/programme outcome attainment.
- Student and teacher feedback, with the action taken.
Every year
- Faculty qualifications, publications, FDPs attended and appraisal records.
- Research projects, grants and consultancy.
- Placement and progression data.
- Finance summaries and budget utilisation.
- Events, outreach and extension activities with photos and attendance lists.
Continuously
- Minutes of IQAC and academic council meetings.
- MoUs, collaborations and their outcomes.
- Policies, circulars and best-practice documentation.
Five habits that remove the last-minute scramble
- One owner per criterion, with a short monthly check-in.
- One source of truth. If the same number lives in three spreadsheets, it will be wrong in at least one.
- Evidence at the time of the event. Upload the circular, attendance sheet and photos the same week.
- Map data to criteria once. Tag records to the NAAC criterion and key indicator when entered, not when the report is due.
- Dry-run the AQAR every year, not only before an accreditation visit.
Where software helps
A campus platform that already holds admissions, academics, examinations, finance and HR can produce most of these numbers without re-keying. KurippEdu's IQAC & Accreditation module is built around this idea: quality initiatives, faculty appraisal and accreditation-ready reports drawn from the same data the rest of the institution uses.
